Last updated: September 5, 2026

## 1. Acceptance of Terms

These Client Terms and Conditions ("Agreement") constitute a legally binding contract between you ("Client," "you," or "your") and KaHo Technologies (OPC) Pvt. Ltd. ("KaHo," "we," "us," or "our"), a company incorporated under the Companies Act, 2013, with its registered office in Shakarwara Sabik, Gaighat, Muzaffarpur, Bihar, India, governing your access to and use of our educational management platform, mobile applications, and related services (collectively, the "Platform").

By creating an account, accessing the Platform, or using any of our services, you acknowledge that you have read, understood, and agree to be bound by this Agreement and our Privacy Policy, which is incorporated herein by reference. If you are entering into this Agreement on behalf of an educational institution or organization, you represent and warrant that you have the authority to bind such entity to these terms.

**IF YOU DO NOT AGREE TO THESE TERMS, YOU MUST NOT ACCESS OR USE THE PLATFORM.**

## 2. Platform Description and License

KaHo provides a cloud-based Software-as-a-Service (SaaS) educational management platform designed for schools, colleges, universities, and vocational training institutions. The Platform includes:

- Student information system (SIS) with enrollment, demographics, and academic records management
- Manual attendance tracking with real-time parent notifications
- Comprehensive grade management, transcripts, and report card generation
- Secure communication portals for parents, teachers, and administrators
- Native mobile applications (Android) for stakeholders
- Multi-campus and branch management with role-based access control
- Advanced analytics, custom reporting, and data export capabilities
- Fee management, payment processing, and financial reconciliation
- Timetable scheduling, resource allocation, and examination management

Subject to your compliance with this Agreement and payment of applicable fees, KaHo grants you a limited, non-exclusive, non-transferable, revocable license to access and use the Platform solely for your internal educational management purposes. This license does not include any right to sublicense, resell, or redistribute the Platform or any portion thereof.

## 3. Subscription Plans

KaHo offers subscription tiers based on student count:

- **Growth Package:** ₹699 for up to 30 students, 5 teachers, and 1 branch

### 3.1 Free Trial

KaHo offers a one-month (30-day) free trial for eligible new institutions. During the trial period, you can explore the Platform's features without paying the full subscription fee. To activate the trial, a nominal **₹1** (one rupee) token amount is charged to verify your payment method and prevent misuse. This ₹1 is not a subscription fee, is non-refundable, and the full subscription fee will be billed at the end of the trial unless you cancel before the trial expires. Trial eligibility and duration may vary based on the selected plan or promotional offer.

## 4. Payment Terms

Subscription fees are billed yearly in advance. You authorize KaHo to charge your payment method on a recurring basis. If payment fails, we reserve the right to suspend your access to the Service until payment is received.

All fees are non-refundable except as required by law or as explicitly stated in our refund policy.

**Taxation:** All subscription prices mentioned above are exclusive of 18% Goods and Services Tax (GST) as per Indian tax regulations. The applicable GST will be added to the base price and will be reflected in your invoice.

## 4.1 Online Payment Information

**Payment Processing:**

Online payments on the Platform are processed through **Cashfree Payments**, an RBI-authorized payment aggregator licensed under the Payment and Settlement Systems Act, 2007. Cashfree Payments acts as the payment intermediary between you and KaHo for all subscription transactions. By making a payment, you agree to Cashfree's terms of service and privacy policy, available at [cashfree.com](https://www.cashfree.com).

All transactions are processed in compliance with Reserve Bank of India (RBI) guidelines, the Payment and Settlement Systems Act, 2007, and Indian banking regulations.

**Payment Methods:**

Cashfree supports the following payment methods subject to availability on your account:
- Credit cards, debit cards (Visa, Mastercard, RuPay)
- Unified Payments Interface (UPI)
- Net banking (all major Indian banks)
- Wallets and PayLater (where enabled)

**Payment Security:**
- Your card details are never stored on KaHo's servers — card number, expiry, and CVV are collected directly by Cashfree through PCI-DSS compliant iframe elements (Cashfree.js v3) and never touch our infrastructure
- All payments are processed through encrypted channels (TLS 1.3+)
- Two-factor authentication (OTP / 3D Secure) is required for all card transactions as per RBI mandate
- KaHo operates within PCI-DSS SAQ-A scope; all sensitive card data is handled exclusively within Cashfree's PCI-DSS Level 1 certified environment

**Card Tokenization (RBI Compliance):**

In accordance with the RBI guidelines on card-on-file tokenization (effective October 1, 2022), if you choose to save your card for future transactions:
- Your card number is replaced with a tokenized reference (instrument ID) issued by the card network
- No actual card number is stored by KaHo or Cashfree — only the tokenized instrument ID is retained
- You may request deletion of your saved card token at any time by contacting us
- Tokenized cards can only be used on the KaHo Platform and cannot be reused on other merchant sites

**In Case of Payment Issues:**

If your payment fails or you encounter any issues:
- You may contact your bank directly for transaction-related queries
- Payment status is verified server-side through Cashfree's Order API — the final payment status is determined by Cashfree's `order_status` (PAID / ACTIVE / EXPIRED / TERMINATED), not by the browser
- All payment disputes can be escalated as per RBI guidelines and the Banking Ombudsman Scheme
- You have the right to file payment disputes through your bank's grievance redressal mechanism
- For Cashfree-specific transaction issues, you may also contact Cashfree support at [support@cashfree.com](mailto:support@cashfree.com)

**Refunds:**

Refunds, where applicable, are processed back to the original payment method through Cashfree's refund API. Refund processing time depends on your bank and typically takes 5–7 business days. Refunds are governed by the refund policy in Section 4 and RBI guidelines.

**Invoice and Record Keeping:**

For your records and internal audit purposes:
- A GST-compliant tax invoice will be generated and sent to your email for every successful payment
- The invoice includes KaHo's GSTIN (10AAMCK6057A1ZY), payment details, and GST breakdown
- We maintain complete transaction records (including Cashfree order ID and payment ID) for audit and compliance purposes
- All financial records are maintained in accordance with Indian tax laws and RBI guidelines

**Legal Compliance:**

KaHo maintains proper financial records and documentation as required by law. This ensures transparency and compliance with Indian regulatory requirements. All payment transactions are conducted through Cashfree Payments, an authorized payment aggregator licensed by the RBI, providing you with consumer protection rights under Indian banking laws including the Payment and Settlement Systems Act, 2007.
